Work With CAATA: Part-Time Executive Director.

Consortium of Asian American Theaters & Artists (CAATA) seeks to hire its first-ever Part-Time Executive Director to lead the organization into an exciting new chapter of service to a diverse network of Pan Asian American theater artists across the country. This new position will work in collaboration with a dynamic board of directors and be responsible for charting and execution of CAATA programs. As a collective, CAATA brings together local and regional leaders to work nationally toward shared values of social justice, artistic diversity, cultural equity and inclusion. CAATA holds national conferences and festivals biennially in different parts of the country, reaching as wide a range of Asian American populations and communities as possible. The first Executive Director will be committed to representing CAATA, its mission and programs, and expanding the organization’s national visibility and to growing fiscal support. The new Executive Director will also form alliances with other theater groups of different affinities to advance mutual goals cooperatively and to exchange ideas and strategies.

CAATA is at a crucial growth moment and is looking for an individual who can lead the national network into the next decade. The ED will have the opportunity to grow the infrastructure and capacity of the organization to better serve Asian American Theaters and Artists across the country. In addition, as the first ever ED of this national network, the board is looking for someone who can represent CAATA and participate in national conversations around: Equity, Diversity and Inclusion; Advocacy efforts around Asian American, Native Hawaiian and Pacific Islander representation in the theater; Intersectional conversations in with other Theater of Color National Networks; and with funders. The ED will work in collaboration with the Board of Directors who are leaders in the field from across the county.

Specific Details:

This position is currently a part-time, year-round position (approximately 10-20 hours/week, approximately $80-200k organization budget, depending on program year), with the intention to expand into full-time, based on successful fundraising. Currently the organization does not have a physical office, therefore the ED must have the ability to work remotely. NYC-based is preferred for this role, but it is not a requirement.

The Executive Director reports directly to the Board of Directors, currently comprised of executive leaders and independent artists from the Asian American/Native Hawaiian/Pacific Islander theater community from across the country. As CAATA’s chief administrator and producer, the ED provides a critical through-line of leadership and support involving many areas: programming, finances, board activity, fundraising/development and day-to-day operations. CAATA produces the National Asian American Theater Conference & Festival (ConFest) held biennially in different cities across the country and has just launched a membership program to more fully serve the Pan Asian theatre community on a continuing basis. In addition to collaborating with the Board, the position will have the opportunity to lead a strategic planning process that gives vibrant and sustainable action to CAATA’s mission and vision. The ED will refine and create administrative and production processes and will hire and supervise independent contractors hired on a project-by-project basis including ConFest Coordinator, Production Manager, Marketing Consultant and a new part-time Membership/Communications Manager.

JOB RESPONSIBILITIES

Primary Objectives

  • Increase visibility of Asian American Theaters and Artists nationally.

  • Provide direction, strategy, and inspiration in concert with the Board of Directors with any eye for building membership and national partnerships.

  • Expands sources of funding from the public, philanthropic organizations and foundations, as well as corporate partners and sponsors.

  • Maintain and oversee general organizational management.

  • Develop infrastructure and capacity of organization.

  • Lead strategic planning process and implementation.

  • Leads company culture and inclusiveness.

  • Provides a steady and goal-focused presence.

  • Provides continuous feedback and guidance to all, developing staff and Board skills and knowledge and career paths, proactively addresses issues or needs for improvement.

Executive Produce CONFEST

  • Provide general leadership, administrative support and oversight, and executive decision-making throughout ConFest planning and production process.

  • Attend steering committee meetings (via teleconference).

  • Facilitate and finalize theme selection and application processes.

  • Support and finalize site selection process and site planning; attend site visits.

  • Hire and contract key ConFest staff, including local coordinator, marketing consultant, press rep, production manager, volunteer coordinator, per ED’s discretion.

  • Negotiate, prepare and execute agreements with ConFest vendors, artists, speakers, venues.

  • Oversee company management areas of ConFest: travel, accommodation and hospitality arrangements provided to participants.

  • Oversee documentation: secure videographers, photographers, facilitate livestreaming on Howlround, etc.

  • Attend ConFest and provide operational support, as needed, with registration, hospitality, festival and conference programs and productions, venues.

  • Monitor and revise budget as project evolves.

  • Support marketing coordinator with website development, communication content and plans, ConFest collateral; coordinate approvals of marketing materials with funders.

  • Process payment to staff, artists, panelists, speakers; hired as independent contractors.

Relationship Building

  • Initiates, develops and maintains relationships with cultural, business, civic and philanthropic leaders.

  • Creates and maintains relationships with other arts organizations and collaborators.

  • Expands CAATA’s public presence through speaking and advocacy in the media, at events, in organizations, public forums, publications, and other means.

Board Communication

  • Manages and schedules board meetings with the Board President, participating on the Executive Committee and various others.

    • Prepare and distribute meeting agenda and supporting doc.

    • Take minutes and distribute.

    • Attend committee meetings (via teleconference) and take/distribute notes to committee.

    • Follow-up on action items decided upon at meetings.

  • Attend and help facilitate board planning retreat sessions, held approximately every 3 years.

Fund Development

  • Nimble, willing, strategic and diligent when it comes to fundraising.

  • Support and help write drafts to LOIs and grant narratives.

  • Prepare budgets to accompany grant applications.

  • Coordinate supporting documents to accompany grant applications.

  • Facilitate on-line application and submission processes.

  • Draft and submit final narrative and financial reports.

  • Draft and facilitate donor acknowledgements.

  • Facilitates the transition from initiation to maintenance of relationships by way of Development, Grants, the Board and others, at ConFest and related programs, at fundraising and donor appreciation events, and in other gatherings

  • Strength in major gift and/or institutional fundraising a plus.

Finances – Oversee and work with bookkeeper to:

  • Manage accounts in Quickbooks.

  • Write checks, process deposits.

  • Prepare and monitor annual budget.

  • Prepare EOY financial documents for accountants for filing of 990; facilitate submission to IRS and NY State.

  • Prepare and file 1099s / W2s.

  • Budgets, sets goals and measures progress toward growth and financial goals

General Administration

  • Oversee mail delivery to CAATA NYC mailing address.

  • Respond to general inquiries.

  • Hire and supervise staff/consultants based on need and available funding

Qualifications

  • 5 to 10 years in nonprofit performing arts leadership, or proven equivalent experience

  • Demonstrated experience and results in audience and philanthropic development, such as PR, marketing, hospitality, or community engagement work

  • Very strong communication and public speaking skills and experience

  • Excellent interpersonal and networking skills, proven ability to identify and maintain connections with key influencers and leaders

  • Strong aptitude for building collaboration and trust across disciplines and between organizations, providing timely and clear feedback and corrective action when needed, demonstrated commitment to open and honest discourse

  • Passionate and demonstrated commitment to Equity, Diversity, and Inclusion (EDI) practices

  • Preference given to substantial business, budgeting and financial management knowledge

  • Comfortable managing business plans and projects with multiple and shifting timelines and outcomes and ensuring continual communication and follow-through

Preference given to experience partnering with and forging excellent and productive working relationships with nonprofit boards of directors
